Responsibilities:
Procurement & Performance
- Define and implement setup of the Procurement & Performance function, including appropriate governance and performance monitoring
- Optimize external spending
- Participate in contract negotiations with different suppliers and ensure contracts are in place
- Execute the permanent control framework, particularly in terms of assessing and controlling risks relating to suppliers
- Ensure compliance with group policies, standards, and procedures as well as local procurement and general services regulations.
- Optimise purchases and achieve savings for its entity.
- To engage with suppliers, negotiate with them, manage contracts with lawyers and implement.
- Optimise the portfolio of suppliers and keep supplier inventory up to date
- Ensure KYS compliance
- SME in the TPRM process
Workplace & Corporate Services
- Maintain offices, manage licenses and permissions
- Be in contact with the administration of the building to coordinate any eventualities arising at the premises.
- Have a preventive maintenance schedule.
- Managing the maintenance of bank offices and responding to urgent maintenance calls.
- Ensure that furniture is available in optimal conditions to enable partners to perform their functions.
- Manage projects in case of remodelling or adaptation of bank offices.
- To know the tax and legal status of suppliers in such a way that they are adequate to engage in a business relationship with the least risk to the bank.
- Identify potential risks to active suppliers for mitigation and action plans.
- Coordination of space with departments and all requests for space or seating changes
- Manage all office general services: travel, drivers, executive assistants and administrative services, receptionist, correspondence flow, archiving (ex. clients’ and Legal documentation), hospitality, cleaning, whether in-house or in outsourcing.
- Coordinates in partnership with People and Property Security and COO the workplace safety policies implementation including supervision of the physical security work.
- Responsible for the annual fixed assets inventory
- Calculate and present ESG metrics and KPIs defined for Workplace across multiple committees
Requirements:
- Minimum of 5 years’ experience.
- Understanding of the legal entity concept and exposure to legal agreements or contracts with internal or external counterparties
- Advanced English
- Good Microsoft Office (Word, Excel, PowerPoint) skills.
- Energetic, flexible and industrious self-motivated
- Strong capability in planning and managing a wide variety of initiatives and concurrent priorities to produce high quality deliverables within established timelines.
- Strong written and interpersonal communications skills.
