Position Overview
Reporting to Chief Operating Officer (COO), the Legal Affairs Specialist Assistant will remotely support both COO and in-house counsel on legal and operational needs with a focus on managing routine legal tasks, corporate governance, and non-contractual projects. This role requires the ability to work across US/EU time zones to ensure timely coordination with international teams and stakeholders.
Key Responsibilities
1. Cross-Time Zone Legal Support:
◦ Manage daily legal tasks with availability to align with US/EU business hours (e.g., responding to urgent queries, filing deadlines).
◦ Collaborate remotely with the In-house Counsel and COO to prioritize and execute operational legal requests.
2. Corporate Governance & Registrations:
◦ Oversee corporate filings (e.g., entity updates, annual reports) and maintain accurate legal records.
◦ Prepare board resolutions, meeting minutes, and coordinate with external counsel and professionals.
3. Dual Leadership Support:
◦ Act as a point of contact for both the Legal Counsel and COO, ensuring seamless communication between legal and operational teams.
◦ Assist in drafting standard legal documents (e.g., notices, consent forms) and organize legal databases.
4. Emergency & Ad-hoc Support:
◦ Provide urgent administrative assistance to the Legal Counsel (e.g., document review, formatting, filing) during high-priority projects.
◦ Coordinate with finance/operations to address immediate compliance or registration needs.
Ideal Candidate Profile
• Experience & Flexibility:
◦ 1-3 years in legal administration/corporate affairs, with proven ability to work remotely and adapt to cross-time zone schedules.
◦ Familiarity with US/EU corporate legal procedures (e.g., entity formation, trademark practices) is preferred.
• Technical & Communication Skills:
◦ Proficient in remote collaboration tools (Teams/Zoom/Slack) and legal document management systems.
◦ Excellent written/verbal English for cross-cultural communication with international stakeholders.
• Adaptability & Initiative:
◦ Self-driven to manage independent work while remaining responsive to urgent requests from dual supervisors.
◦ Strong organizational skills to prioritize tasks across legal and operational priorities
