🔍 At Morgan Philips Specialist Recruitment, we are looking for an Office Manager for a financial advisory firm in the infrastructure and energy sectors across emerging markets, located in Mexico City.
🤝🏼 Position Purpose
This role will become a key pillar in the day-to-day operations of our office (10 persons). This person will provide direct support to senior executives, ensure the efficient functioning of office operations, and facilitate effective communication between teams, partners, and international institutions.
Key Responsibilities
• Coordinate in-person meetings for the Managing Director and other executives.
• Organize national and international travel arrangements (flights, hotels, agendas) for the Managing Director and other executives.
• Prepare documents, presentations, and reports for executive meetings and board sessions.
• Handle confidential information and liaise with high-level stakeholders.
• Provide support to the COO for HR and Office Management activities.
• Provide support to the CFO with accounting-related activities is a plus.
• Oversee vendors, office supplies, and general services.
• Monitor operating budgets and petty cash expenses.
• Coordinate administrative tasks in connection with account bank in Mexico and third party accounting provider for the company.
• Coordinate internal events, client visits, and corporate meetings.
• Provide administrative support to both local and international teams as needed.
Position Requirements
- Bachelor’s degree in Business Administration, International Relations, or related fields.
- Minimum of 2 years of experience as an Executive Assistant, Office Manager, or in a similar administrative role.
- Knowledge of auditing processes.
- Previous experience in the financial sector.
- Advanced English (mandatory); French is a plus.
- Excellent communication, organizational, and problem-solving skills.
- Professional attitude, high discretion, and attention to detail.
