We are currently collaborating with a reputable international law firm composed with 15 people based in Luxembourg City.
We are seeking a competent and detail-oriented Administrative Assistant to join the team. The ideal candidate will provide administrative support to the legal professionals.The role involves a variety of tasks, ranging from managing correspondence to organizing legal documents and assisting with client inquiries.

Responsibilities:
- Manage incoming calls, emails, and correspondence, directing inquiries to the appropriate personnel.
- Maintain calendars and schedules for attorneys and legal staff, scheduling appointments and meetings as necessary.
- Organize and maintain physical and electronic filing systems for legal documents, including contracts, briefs, and court filings.
- Prepare and proofread legal documents, correspondence, and reports with a high level of accuracy and attention to detail.
- Assist with client intake processes, including drafting engagement letters, collecting client information, and coordinating client meetings.
- Coordinate travel arrangements and accommodations for attorneys and staff as required.
- Assist with billing and invoicing tasks, including entering time entries and preparing invoices for clients.
- Perform general office duties such as photocopying, scanning, faxing, and filing.
- Provide administrative support during meetings, including preparing agendas, taking minutes, and distributing meeting materials.
- Collaborate with other administrative staff to ensure smooth office operations and support team members as needed.
- Previous experience working as an administrative assistant, preferably in a legal setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication skills, both verbal and written, with the ability to interact professionally with clients and colleagues.
- Strong organizational skills and the ability to prioritize tasks effectively in a fast-paced environment.
- Attention to detail and a high level of accuracy in handling sensitive legal documents and information.
- Ability to maintain confidentiality and discretion when dealing with sensitive and confidential information.
