Morgan Philips is seeking a dedicated and highly organized Community Hub Administrator to support our client on a 12 month fixed-term contract basis in the management and coordination of activities within a bustling community space. The ideal candidate will be responsible for providing administrative support, facilitating meetings, managing projects, and contributing to a vibrant community engagement environment while promoting their commitment to Equality, Diversity, and Inclusion (EDI). Please note that this role is based on-site 5 days per week - 3 times a week 11am -7pm and 2 times a week 10am -6pm. The package on offer is between £25,500 and £32,000pa.
Key Responsibilities:

Administrative Support: Provide comprehensive administrative assistance to ensure the smooth operation of the Community Hub.

Documentation Preparation: Prepare briefing packs, meeting papers, and all necessary documentation for community and partner meetings. Take accurate minutes and action notes during meetings and follow up on agreed actions to ensure all tasks are completed in a timely manner.

Record Management: File all documentation systematically for easy access as required, maintaining an organized and up-to-date filing system.

Budget Management Assistance: Support the Hub Manager in monitoring and managing the hub’s budget, ensuring financial processes are adhered to.

Data Collection: Lead the collection and analysis of monitoring data related to community engagement and social value activities occurring in the Community Hub and across the campus.

Project Management: Manage assigned projects from initiation to completion, ensuring effective execution and alignment with hub objectives.

Miscellaneous Administrative Tasks: Undertake additional administrative tasks as directed by the Community Hub Manager to support effective hub operations.

EDI Advocacy: Actively promote and embed Equality, Diversity, and Inclusion principles in all aspects of work, ensuring compliance with all organizational initiatives and policies regarding EDI.
Required Criteria:
Skills:
- Proficient in computer and IT skills, including comprehensive knowledge of the MS Office suite or equivalent software.
- Strong organizational skills with the ability to prioritize and coordinate appointments and meetings efficiently.
- Excellent meeting management capabilities, including preparation of documentation and producing clear, grammatically correct minutes.
- Project management skills, with a demonstrable ability to oversee projects from inception through to successful completion.
- Strong relationship-building skills, capable of engaging positively with visitors and stakeholders within the Community Hub.
- Problem-solving aptitude, with the ability to address ad-hoc issues and operate within established procedures and protocols.
- Flexibility to work across various days of the week and occasional evenings as necessary to ensure the effective operation of the hub.
Knowledge:
- Understanding of executive office and business management principles.
- Familiarity with community engagement practices (desirable).
- Knowledge of managing a community facility (desirable).
Type of Experience:
- Previous experience providing administrative support to senior stakeholders, demonstrating an ability to manage workload and meet deadlines effectively.
- Proven experience working with senior-level stakeholders.
- Experience producing and issuing project management reports, including status updates, schedule tracking, and risk management.
- Experience handling sensitive and confidential information (desirable).
- Prior involvement in community engagement activities (desirable).
- Familiarity with facilities management (desirable).
