A large-scale, international single-family office of prominent tech entrepreneurs, based in London, is seeking a Senior Personal Assistant. The successful candidate will work directly with two entrepreneurs and their families, providing high-level support across a wide range of personal and professional tasks. This role involves managing day-to-day family office operations, ensuring smooth and efficient handling of their diverse projects.

The ideal candidate will be tech-savvy, proactive, and a self-starter with critical thinking skills, excellent attention to detail, and proven experience in a similar role. This person must be highly organized, adaptable, and able to navigate complex, fast-paced environments while maintaining the highest levels of professionalism and discretion.

Responsibilities:

  • Managing complex travel arrangements: organizing family and business itineraries, booking accommodations, coordinating with external offices, arranging visas and ground transportation.
  • Managing calendars, appointments and schedules for the family members.
  • Coordinating and organizing private events, high-profile dinners and parties.
  • Sourcing tickets for exclusive events: sports events, sold-out concerts, shows, etc.
  • Managing household staff: scheduling, handling payroll, and addressing any day-to-day issues.
  • Managing relationships with suppliers, contractors, and household service providers, and coordinating maintenance work. Helping to track progress and ensure deadlines are met.
  • Collaborating closely with the Operations Director on various projects.

Requirements:

  • Minimum of 5 years of experience as a personal assistant or executive assistant in a high-pressure environment.
  • Demonstrated ability to think critically and systematically to solve complex issues.
  • Excellent organizational and multitasking skills, with a proven track record of managing multiple projects simultaneously.
  • Ability to remain calm and deliver results swiftly under pressure in a fast-paced, results-oriented environment.
  • High level of discretion, confidentiality, and responsibility when handling personal and business matters.
  • Flexibility and proactive problem-solving skills, with a "can-do" attitude.
  • Exceptional interpersonal skills, able to communicate clearly and effectively at all levels.
  • Willingness to travel as required (<10% of the time).
  • Experience working with high-net-worth individuals and understanding the dynamics of a family office setting.
  • Experience in managing vendors, contractors, and household staff is a plus.
